Registration Guidelines
HOW TO REGISTER
- All registrations must be made through the Online Registration Portal.
- First create an account. After that, sign in to finish your registration.
- If you submitted an abstract before, you may already have an account.
- We recommend using a personal email address to avoid delivery issues.
- A confirmation email with your registration number will be sent after submission.

- REGISTRATION FEES INCLUDES:
- Admission only to the NFO Summer School on 30 August

- Place: Moravian Gallery in Brno
- Dress code: smart/business casual
All the above fees include a local VAT of 21 %.
All registration deadlines are based on the local time (CET/CEST).
If your payment is not received promptly, the latter fee will be automatically applied. Unpaid or partially paid registrations will not be considered valid until paid in full.

CANCELLATION CONDITIONS
REGISTRATION CANCELLATIONS
- Until 26 May 2026 – a 50 EUR administrative fee will be applied
- Until 28 July 2026 – a 50 % cancellation fee will be applied
- From 29 July 2026 – no refund can be processed
CANCELLATION OF OTHER BOOKABLE ITEMS
- Until 28 July 2026 – a 20 EUR administrative fee will be deducted from each item
- From 29 July 2026 – no refund can be processed
GENERAL CANCELLATION CONDITIONS
- All cancellations must be notified in written form by email to the NFO18 Conference Secretariat.
- Refund requests received after 29 July 2026 will not be considered.
- For any change of delegate´s name, an administrative fee of 20 EUR will be charged. Such changes may be made no later than one week prior to the event.

Please ensure that the registered participant’s name and registration number are clearly stated in the bank transfer. Payments received without such details (name, registration number) cannot be easily identified and may not be valid.
Payment by bank transfer is available until 4 August 2026. After this date, all payments can only be made by credit/debit card.

INVOICE
The final invoice can be downloaded from the Online Registration Portal three weeks after full payment. It will be issued based on the details provided during registration (step: Contact/Invoice details).
Changes to these details (name, address, VAT, etc.) are allowed within 3 days of registration for a 20 EUR fee.
OTHER INFORMATION
INSURANCE
The registration fee does not include the participant’s insurance against accidents, sickness, cancellation, theft, property damage, or loss. Participants are advised to take out adequate personal insurance.
INVITATION LETTER
Delegates can download their invitation letter from the Online Registration Portal once their registration has been paid in full.
VISA INFORMATION
As you prepare for your visit to the Czech Republic, it is essential to verify whether you are required to obtain a visa for entry. The Czech Republic is a member of the Schengen Area, and visa requirements vary based on your nationality and the purpose of your stay.
Please be advised that if visa applications are submitted less than 45 days before the event, delegates will not be eligible for a refund of registration fees in the case of a visa refusal. We strongly recommend submitting visa applications well in advance to ensure timely processing and avoid complications.
CERTIFICATE OF ATTENDANCE
The Certificate of Attendance will be available for download in the Online Registration Portal after the Conference for all participating delegates.
PHOTOGRAPHS
Any images or visual recordings of participants taken during the event may be used by organiser for documentation of the event and promotion of future events, without any claim of the participants to any remuneration.
A participant may withdraw his or her consent to the use of the image at any time for reasonable cause contacting the NFO18 Conference Secretariat at [email protected]. By participating in the event, the participant acknowledges that visual recordings may be made for the above purposes.
CANCELLATION OR MODIFICATION OF THE NFO18 CONFERENCE IN APPROPRIATE CIRCUMSTANCES
In appropriate circumstances, CZECH-IN s.r.o. reserves the right to alter or cancel the meeting without prior notice. This may e.g. include a change of time and/or venue. Any such decision shall be communicated as soon as reasonably practical. Appropriate circumstances may include circumstances beyond the reasonable control of CZECH-IN s.r.o. preventing or impeding the realisation of the meeting. For example, government action, war or hostilities, riot or civil commotion, plague, or other epidemics or health concerns such as SARS, bird flu, COVID-19, earthquake, flood, hurricane, cyclone, fire or other natural physical disasters, explosion, accident or breakdown, strike or other protest, lack of the usual means of transportation or terrorism or security concerns.
